The Saudi Exhibition Logistics Challenge

Saudi Arabia has made considerable progress in streamlining Customs and import procedures, but exhibition logistics remains a specialist activity. The combination of time-critical deadlines, temporary import procedures, Arabic-language documentation requirements, and the physical scale of Saudi exhibition venues means that errors in the logistics chain — missed Customs deadlines, incorrect documentation, wrong port of entry — have immediate and sometimes irreversible consequences for your show participation.

The most effective approach for international companies is to maximise local sourcing (the stand structure itself is almost always faster and cheaper to fabricate in Riyadh than to ship internationally) while applying precise international logistics management only to items that genuinely must travel from the home country — branded graphics, specialised products, high-value equipment, product samples.

Local Fabrication First

RITM Event fabricates exhibition stand structures, furniture, printed graphics, and most fit-out components entirely in Riyadh. This eliminates international freight for the stand shell — the heaviest and most complex element to ship.

Sea Freight Coordination

For heavy or large-volume materials that must travel from abroad: FCL or LCL sea freight from any major global port, coordinated with our Saudi freight forwarding partners for port clearance and venue delivery.

Air Freight for Time-Critical Items

Last-minute additions, fragile or high-value items, product samples requiring controlled conditions: air freight from any international hub to Riyadh or Jeddah, with expedited Customs handling.

ATA Carnet Management

For materials returning to the home country after the show: ATA Carnet coordination from your origin country, Saudi Customs carnet entry and exit processing, and complete re-export documentation management.

The Exhibition Logistics Timeline for Saudi Arabia

10–12 weeks before show opening: Logistics planning begins. Determine what ships from abroad versus what is locally fabricated. Sea freight booking windows open for major shows — containers fill quickly.
8 weeks before opening (sea freight): International sea freight must be packed and collected by forwarder no later than this point for 35-day transit. Earlier is better — Saudi Customs pre-clearance documentation can be initiated while in transit.
3–5 weeks before opening (air freight): Non-urgent air freight booking window. Express air freight can be arranged as late as 1 week before, but at significant cost premium.
2–3 weeks before build: All Customs documentation — commercial invoice, packing list, certificate of origin, ATA Carnet if applicable — prepared and submitted. SABER certificate confirmed for regulated product categories.
1 week before build: Materials cleared from port and in transit to venue or temporary storage. Last-minute air freight arrangements if required.
Build period: Materials delivered to the stand position. On-site inventory confirmed against packing list. Any Customs or delivery exceptions resolved with the venue authority.

Saudi Customs: What International Exhibitors Need to Know

Saudi Customs (ZATCA) processes exhibition materials under two main categories:

Temporary import (ATA Carnet or temporary entry bond): Materials that will return to the home country after the show — display equipment, reusable stand components, product demonstration units — are imported temporarily. ATA Carnet is the cleanest mechanism: issued by your national chamber of commerce, accepted at Saudi ports, and cancelled on re-export. A Saudi temporary entry bond is an alternative but requires a Saudi guarantor.
Permanent import: Materials that will remain in Saudi Arabia — product samples left with clients, literature distributed at the show, gifts — are imported permanently under standard Saudi import procedures. Applicable duties and VAT apply.
SABER certificate: Certain product categories (electronics, electrical goods, children's products, safety equipment) require a SABER certificate of conformity before Saudi Customs will clear the goods. This must be prepared 4–6 weeks in advance. RITM Event advises on SABER requirements for your specific product category.
Prohibited and restricted items: Saudi Customs restricts certain categories — specific food products, certain chemicals, printed materials with restricted content. RITM Event reviews your packing list for any items that may face Customs complications before shipment.

On-Site Operational Logistics

Exhibition logistics does not end when materials arrive at the venue. The operational logistics of the stand during the build-up period and the show itself require daily management:

Venue receiving and materials handling: Saudi exhibition venues have specific rules for vehicle access, goods receiving windows, and materials movement on the show floor. RITM Event manages all venue receiving procedures and coordinates forklift and pallet handling within the hall.
Daily inventory management during the show: For stands with product samples, literature, or merchandise, RITM Event's on-site team manages daily stock levels, records client take-aways, and ensures high-value display items are secured at close of each show day.
Stand breakdown and return logistics: At close of show, RITM Event supervises the breakdown of the stand, packages any materials for return shipment, coordinates the forwarder for outbound collection, and manages the ATA Carnet re-export process.
